Best Practices for Hosting a HEAP Speaker

  1. Travel (for non-local speakers) should be arranged with P&A Front Desk (frontdesk [at] physics) no later than 5 weeks prior to the visit.
  2. Coordinate with P&A Front Desk to advertise the speaker, title, and abstract to the department early in the week before the seminar. An additional reminder the day of the seminar to heap@lists.utah.edu is also recommended.
  3. Actively recruit students to join the speaker for lunch on the day of the seminar. A group of four students is considered the ideal size for a speaker lunch.
  4. Actively recruit faculty, postdocs, and/or students to join the speaker for dinner on the night of the seminar. A group of three department members is considered the ideal size for a speaker dinner.
  5. Arrange for one-on-meetings between the speaker and any interested members of the department. Actively recruit members of the department to meet with the speaker.
